Terms and Conditions – English

These Terms and Conditions apply to registration and participation in the SSMG 2026 International Conference – Bridging Diagnosis to Treatment in Genomics, taking place in Jeddah, Kingdom of Saudi Arabia, from 30 September to 1 October 2026, and organized by the Saudi Society of Medical Genetics (SSMG).

1. Registration

• Registration is considered complete upon submission of the registration form and successful payment of the applicable registration fees.
• Registration is personal and may not be transferred to another person without prior approval from the organizer.
• Participants are responsible for the accuracy and correctness of the information provided during registration.
• The organizer reserves the right to reject or cancel any registration containing inaccurate information or failing to meet the registration requirements.

2. Registration Categories and Fees

Registration fees are determined according to the participant’s academic or professional status as follows:

• Students: SAR 100.
• Trainee Doctors, Nurses, and Laboratory Technicians: SAR 200.
• Consultants, PhD Holders, and Genetic Counselors: SAR 300.

Participants are responsible for selecting the registration category that accurately corresponds to their academic or professional status. The Association reserves the right to request supporting documents or information to verify eligibility for the selected category when necessary.

Registration fees do not include travel, accommodation, transportation, visa, insurance, or any other personal expenses unless otherwise stated.

3. Certificates and Academic or Professional Designation

• The conference participation certificate will be issued according to the registration category selected and paid for by the participant.
• The academic or professional designation stated on the conference certificate will be determined based on the participant’s approved registration category.
• Participants are responsible for selecting the registration category that accurately reflects their academic or professional status.
• The Association reserves the right to verify the participant’s registration category and academic or professional status and to request supporting documentation when necessary.
• Participants may not request a certificate bearing a designation or professional status different from their approved registration category unless a change of category has been approved by the Association.
• Certificates will be issued using the name and information provided by the participant during registration, and participants are responsible for ensuring the accuracy of such information.

4. Cancellation and Refund Policy

• Participants may request cancellation of their registration and a refund no later than 20 September 2026.
• Cancellation requests must be submitted through an official communication channel approved by the organizer.
• Approved refunds will be processed within up to 14 business days from the date the cancellation request is approved.
• The refunded amount may take additional time to appear in the participant’s account depending on the bank or payment service provider.
• Participants are not entitled to request a refund after 20 September 2026, unless otherwise determined by the organizer.
• Where possible, refunds will be returned to the original payment method used for registration.
• The cancellation and refund policy is subject to the applicable laws and regulations of the Kingdom of Saudi Arabia.

5. Modification, Postponement, or Cancellation of the Conference

• The organizer reserves the right to modify the scientific program, session schedules, speakers, halls, or any other conference details when necessary.
• The organizer may change the conference venue or any part of the event when necessary.
• In the event of postponement, participants will be informed of the available procedures and options regarding their registration.
• In the event of cancellation, the organizer will determine the applicable procedure for registration fees in accordance with applicable laws and regulations.
• The organizer shall not be responsible for additional expenses incurred by participants, including travel, accommodation, transportation, visas, or personal bookings, to the extent permitted by applicable laws.

6. Scientific Participation and Abstracts

• Submitted abstracts and research papers must comply with the conference submission requirements and guidelines.
• The submitting author is responsible for the accuracy of the content, information, and author names included in the submission.
• Scientific submissions are subject to review and evaluation in accordance with the scientific criteria adopted by the Scientific Committee.
• Submission of an abstract or research paper does not guarantee acceptance.
• The Scientific Committee reserves the right to accept, reject, or request amendments to any scientific submission.
• Authors must use the official conference templates and technical guidelines where required.

7. Intellectual Property Rights

• Authors retain the intellectual property rights to their scientific work.
• By submitting scientific content, the author grants the organizer the right to display and publish accepted abstracts in conference materials, the abstract book, the conference website, or official conference platforms, with proper attribution to the authors.
• Conference scientific materials may not be reused, copied, or republished without permission from the relevant rights holders.
• Logos, trademarks, designs, and official conference and Association materials remain the property of their respective owners and may not be used without appropriate authorization.

8. Photography and Recording

• Conference activities may be photographed or recorded for documentation, media coverage, and the promotion of the conference and its related scientific activities.
• Participants may appear in general photographs, recordings, or promotional materials related to the conference.
• Participants may not record, photograph, or republish scientific content where the speaker or organizer has stated that recording or publication is not permitted.

9. Professional Conduct

• All participants must maintain professional conduct, mutual respect, and comply with conference rules and applicable regulations.
• Any behavior that disrupts the conference or causes harm or offense to participants, speakers, or organizers is prohibited.
• The organizer reserves the right to remove any participant who violates conference rules or standards of conduct.
• Removal due to misconduct or violation of applicable rules does not automatically entitle the participant to a refund of registration fees.

10. Data Protection and Privacy

• Personal information provided by participants will be used for registration, conference administration, communication, certificate issuance, and services and procedures related to the conference.
• Personal data will be processed in accordance with the applicable laws and regulations of the Kingdom of Saudi Arabia.
• Personal data will not be shared with third parties unless there is a lawful basis for doing so, where necessary to provide a conference-related service, or with the participant’s consent, as required by applicable regulations.
• The organizer will take appropriate measures to protect personal data from unauthorized access, use, or disclosure.

11. Accuracy of Information

• Participants must provide accurate, complete, and up-to-date information during registration.
• The organizer shall not be responsible for problems or errors resulting from incorrect or incomplete information provided by a participant.
• Incorrect or incomplete information may result in delays or inability to issue certificates or provide certain conference-related services.

12. Disclaimer

• The organizer shall not be responsible for loss, theft, or damage to participants’ personal belongings during the conference, to the extent permitted by applicable laws.
• Participants are responsible for their own travel, accommodation, transportation, insurance, and visa arrangements.
• Each speaker or researcher is responsible for the opinions, information, and scientific content they present.
• Participation by speakers or researchers does not necessarily mean that their views or information represent those of the Association or organizer.
• Nothing in these Terms and Conditions shall be interpreted as excluding or limiting any right that cannot legally be excluded or limited under applicable law.

13. Continuing Medical Education (CME) Hours

• Where Continuing Medical Education (CME) hours are accredited for the conference, the calculation and issuance of such hours will be subject to the official accreditation and requirements of the relevant authority.
• Registration alone does not guarantee eligibility for CME hours. Participants must meet attendance requirements and any other conditions imposed by the accrediting authority.
• The final official accreditation details shall determine the approved number of CME hours and eligibility.

14. Amendments to the Terms and Conditions

• The Saudi Society of Medical Genetics (SSMG) reserves the right to amend or update these Terms and Conditions at any time when necessary.
• Any amendments will take effect from the date the updated version is published on the conference website or registration platform, unless otherwise stated.

15. Governing Laws and Regulations

• The conference and these Terms and Conditions shall be governed by the applicable laws and regulations of the Kingdom of Saudi Arabia.
• All participants must comply with applicable laws, regulations, and conference instructions throughout the event.
• If any provision of these Terms and Conditions conflicts with a mandatory provision of applicable law, the applicable legal provision shall prevail.

16. Acceptance of the Terms and Conditions

• By completing the registration process and paying the applicable fees for the SSMG 2026 International Conference – Bridging Diagnosis to Treatment in Genomics, the participant acknowledges that they have read, understood, and agreed to these Terms and Conditions.
• Completion of registration constitutes acceptance of these Terms and Conditions and the applicable conference policies and procedures.
